Check-in that
doesn’t create a queue.

QR scan, live headcount, offline-ready. Any team member can check guests in from any phone, in seconds. On the day of your event, it’s the only tab you need open β€” and the only one that scales from 20 guests to 6,000.

Why this matters

Day-of doesn’t get a second take.

Bad check-in is the first thing guests notice and the last thing they forget. A queue at the door tells every attendee β€” and every photographer β€” that the team running this event is one step behind.

RSVPingo’s check-in flow is built for the realities of the door: phones running low on battery, spotty venue Wi-Fi, three volunteers who’ve never used it before. It just works.

01 β€” QR scan or instant lookup

Aim. Confirm. Next.

Every guest gets a unique QR with their confirmation. Aim the phone, see the green check. Forgot their QR? Type three letters of their name and it’s matched. Walked up without an RSVP? Add them on the spot.

  • Camera QR scan with auto-focus and torch toggle
  • Type-ahead name search β€” partial match in 200ms
  • Walk-ins captured directly into the same guest list
  • Plus-one handling β€” check in both guests with one scan

02 β€” Multi-device, multi-door

Every phone, one count.

Share a one-tap link with volunteers β€” no accounts, no app store, no training. Every scan from every phone syncs to the same live count. Multiple doors? Multiple checkpoints? The headcount stays accurate across all of them.

  • Volunteer access via shareable link β€” no signup
  • Up to 25 simultaneous scanners per event
  • Per-door / per-zone tracking (VIP entrance, main entrance)
  • Prevent double check-ins automatically across all devices

03 β€” Offline mode & live ops

When the Wi-Fi dies, you don’t.

The venue Wi-Fi is going to fail at the worst possible moment. RSVPingo’s check-in app downloads the entire guest list to the device on first load, processes scans locally, and syncs the moment it gets a connection back. Plus a live ops dashboard on any screen.

  • Full offline operation β€” scan, look up, add walk-ins locally
  • Auto-sync the moment signal returns β€” no reconciliation
  • Big-screen mode for venue displays
  • Live dietary count for the kitchen, VIP alerts for the host

“Six hundred guests checked in across two doors in 47 minutes. The previous year, that took us 90 and three more volunteers. RSVPingo on the door was the moment we knew we’d never go back.”

FAQ

Check-in, answered.

Do my volunteers need to install an app?
No. Check-in runs as a progressive web app β€” share a link, open it in the phone’s browser, and you’re ready. Works on every modern phone (iOS 15+, Android 9+).
What happens if the venue Wi-Fi dies?
RSVPingo downloads your entire guest list to each device when first loaded, so scanning continues to work fully offline. When signal returns, all scans sync automatically.
How fast can we check in guests?
Average scan-to-confirmed time is 2.1 seconds. With three volunteers, most teams clear 600+ guests per hour.
Can we print badges?
Yes. On Pro and Enterprise plans, connect a Bluetooth label printer (Brother QL-series and similar) and print branded name badges automatically as guests check in.
